Privacy Policy.
This policy explains what information PixlPass collects, how we use it, and the choices you have. PixlPass is a product of Pixl Events Inc., and we built this platform for event professionals who take their attendees’ trust seriously. We aim to hold ourselves to the same standard.
1. Who we are
PixlPass is a conference and panel booking platform built and operated by Pixl Events Inc., a Colorado corporation ("Pixl Events", "we", "us"). PixlPass helps event organizers manage panel reservations, room capacities, schedules, check-in, and attendee records for conventions and multi-day events. 2. Our two roles
PixlPass handles personal information in two distinct capacities, and your rights flow differently in each.
- As a processor. When an event organizer uses PixlPass to run their event, attendee information belongs to that organizer. The organizer decides what is collected and how it is used, and we process it on their documented instructions. If you attended an event powered by PixlPass, the organizer is your primary point of contact for privacy requests, and we support them in fulfilling those requests.
- As a controller. For visitors to this website, demo requests, and our own business contacts, we decide how the data is used, and this policy applies directly.
3. Information we collect
- Organizer account data. Name, work email, company, and settings needed to operate an organizer account.
- Attendee event data. Provided by organizers or attendees to run an event: name, email, registration details, badge tier, panel and session reservations, and check-in records.
- Demo and contact requests. When you submit our Book A Demo form we collect the details you provide, such as name, work email, phone, company, event type, expected attendance, areas of interest, and your message.
- Technical data. Standard server logs, device and browser information, and IP addresses used for security, fraud prevention, and reliability.
- Analytics. This site uses privacy-first, aggregate analytics. We do not use advertising cookies or cross-site tracking.
4. How we use information
- Operating the platform: reservations, capacity tracking, schedules, check-in, and attendee lookup.
- Responding to demo requests and providing support.
- Securing the service, preventing abuse, and debugging.
- Communicating service updates and, where permitted, relevant product information. You can opt out of marketing at any time.
- Meeting legal obligations.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
5. Infrastructure, security, and redundancy
PixlPass is built on enterprise-grade infrastructure. Our front end is delivered through Vercel’s global edge network, and our back end services and data storage run on Amazon Web Services in the United States, designed for redundancy across multiple availability zones. Data is encrypted in transit using TLS and encrypted at rest. We maintain regular automated backups, role-based access controls, and monitoring, and we review our security practices on an ongoing basis.
No system can be guaranteed perfectly secure, but if we become aware of a breach affecting your personal information we will notify affected parties and authorities as required by law.
6. Who we share data with
We share personal information only with service providers who help us run PixlPass, under contracts that limit their use of the data:

We may also disclose information when required by law, to protect our rights or the safety of others, or as part of a corporate transaction with appropriate protections.
7. Data retention
We keep organizer and event data for as long as the organizer’s account is active and as needed to run their events, then delete or de-identify it on their instruction or on a standard schedule. Demo and contact submissions are kept while we have an active conversation or business need. Logs are kept for a limited period for security purposes. We retain what the law requires us to retain.
8. Your rights
Depending on where you live, you may have rights under laws including the Colorado Privacy Act, the California Consumer Privacy Act, and the EU and UK GDPR. These can include the right to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing.
To exercise a right, email info@pixlevents.com. If your request concerns data from an event you attended, we may direct it to the event organizer, who controls that data, and we will support them in responding. We will not discriminate against you for exercising your rights, and you may appeal a decision by replying to our response.
9. Children
PixlPass and this website are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
10. Changes to this policy
We may update this policy as the platform evolves. We will post the new version here with an updated effective date, and for material changes affecting organizer accounts we will provide direct notice.
